Important Travel Information
**Please read carefully if you are booking air travel**
In the interest of maintaining expenses for this wonderful weekend, we are respectfully requesting that those booking air travel please book their flight(s) within the following parameters. Corporate will reimburse for flights of shareholder and their + 1 (with proper receipts):
- Southern California – max roundtrip $200/person
- Oregon – max roundtrip $200/person
- Missouri – max roundtrip $500/person
- Chicago – max roundtrip $500/person
- NY – max roundtrip $500/person
- Tampa – max roundtrip $600/person
- Miami – max roundtrip $600/person
The only transportation cost covered by corporate is the cost of flights, as listed above. Rental cars, baggage fees, etc. will be at the expense of the shareholder.
Additional Information for All Attendees:
- Dinner on Friday will not be hosted. As was in past years, only Saturday night will be a hosted dinner. Please make your own arrangements for dinner on Friday evening—hopefully you will plan to join everyone at the shareholder reception before heading to dinner.
- Discounted Pre- & Post- Stays – Carmel Valley Ranch is pleased to extend the negotiated group rooming and resort fee rate, listed below, for three (3) days prior to and following the contracted group dates of Friday, February 21, 2020 through Sunday, February 23, 2020. Additional accommodations during the shoulder nights are based on availability. Please note that shareholders will be individually responsible for accommodations made outside of the hosted dates of Friday, February 21, 2020 through Sunday, February 23, 2020. The negoiated group rooming rate is $295 per night, plus a $30 resort fee (per room, per night), local taxes and fees, presently at 10.63% occupancy tax, and a $2.00 Monterey County Tourism Assessment Fee, all which are subject to change.
- Golf will not be sponsored by the group this year, but guests of Heffernan’s Shareholder Weekend 2020 will receive a discounted golf rate of $90.00 per round, which includes practice balls and cart.
- Spa services will not be sponsored by the group this year, but guests of Heffernan Shareholder’s Weekend will enjoy the following discounted rates at Carmel Valley Ranch’s Spa Aiyana: 10% off any 50-minute treatment and 15% off any 80-min treatment. If you would like to arrange a service for you and/or your guest you can contact the Aiyana Shop which handles all spa reservations by phone at (831) 626-2586. Please mention that you are with the Heffernan Group at the time of booking to receive the discounted rate, and also be aware that gratuities are provided to the spa staff through a twenty percent (20%) service charge which is added to all spa treatments for Heffernan Shareholder’s Weekend 2020 attendees. Lastly, please note the spa’s cancelation policy: Cancellations or changes made more than seven (7) days prior to program start date (Thursday, February 20, 2020) will incur no penalty. Appointments cancelled within seven (7) days of program start date (Thursday, February 20, 2020) will incur one hundred percent (100%) responsibility of the agreed upon fees for cancelled appointment(s).
***Please remember, this event is a privilege to you, the shareholders. We would greatly appreciate if you do your best to accept or decline the invitation accurately. For any shareholder who says s/he will be attending but cancels less than one week prior to the event without good reason, s/he will be charged 50% of the costs the group incurred on their behalf.
